Xactimate reprices every import against your price list. Here is what that means for your numbers.
By Chaz Jaco, Co-Founder & Software Architect, ESXPress - Last updated:
Xactimate reprices an estimate every time it imports one, because the imported file carries no price list of its own. On import, Xactimate matches each line against your local price list for that region and price month, applies the price it finds, and reports the difference. That is why the same ESX file can total differently on two machines: the codes are identical, the price lists are not. When ESXPress builds an ESX from a carrier scope, the printed prices from the carrier's document stay on the lines and no price-list identity is stamped into the file, so the import reprice is your own list doing the work rather than a number that arrived with the estimate. Reprice on complete and reprice on report are profile settings inside Xactimate; nothing on the conversion side can change them.
The same Xactimate code can price differently in different regions, in different price months, and against different price lists. Here's how that works, and why ESXPress publishes code guidance instead of prices.
What determines Xactimate pricing
Xactimate estimates price against region-specific price lists. Each list carries regional labor rates, local material costs, and area-specific market factors, and it is updated on a price-month cycle. A line like a laminated shingle roof replacement is made up of labor, material, and equipment components, and each of those carries different rates in different markets.
That is why the same scope can come in differently in Tulsa, Dallas, or Denver: the codes are the same, but the region's price list is not. It is also why Xactimate asks for the job's location, it selects the price list that applies to the work.
The import step, in order
- Send the scope to ESXPress. The conversion writes an .esx with line items, quantities, and the prices printed in the carrier's document on each line. No price-list identity goes into the file.
- Import the .esx into your licensed copy of Xactimate and give it the job location. Xactimate selects the price list that applies to that work.
- Xactimate prices every line against that list and reports the lines it moved. Lines we could not match to a code keep the printed price, which is why they appear in the report instead of changing silently.
- Work the claim in Xactimate from there. The reprice is finished once the file is in and your own list has been applied.
Why ESXPress doesn't publish prices or reprice estimates
Publishing one region's numbers as if they applied everywhere would be wrong and misleading, and a “reprice” built on a single region's data can't give you the true number for your job.
The only honest reprice happens inside Xactimate, against the licensed price list for the job's region. When you import an ESXPress file into Xactimate, Xactimate applies your price list, that is the workflow ESXPress is built for.
What ESXPress gives you instead
- The Xactimate code reference , what each code is, what category it belongs to, and the units it's measured in.
- How codes are written in real claims, the exact line text adjusters use, measured across the claim scopes we have processed, with usage counts and unit data.
- Code guidance, when to use a code, how to use it, and what it's commonly paired with.
- Measured in the 2026 State of Insurance Scope Quality study: a reprice measurement across 289 real claim files and 7,525 line items, with the method and the limits stated on the page.
- Scope-to-ESX conversion , turn a carrier scope PDF into an import-ready ESX file; pricing then happens in Xactimate with your region's price list.
- Xactimate reprice on import , check whether Xactimate will reprice a file, and why.

Cited for the platform behavior described above. ESXPress never publishes Xactimate price-list dollars: prices are region and price-month specific.
Common questions
Does ESXPress publish Xactimate prices?
No. Xactimate line items price against region-specific price lists, and ESXPress publishes code identity, usage guidance, and real-claim evidence instead of prices. Prices vary by region and price list, so a single published number would be misleading.
Why do Xactimate prices differ between regions?
Xactimate price lists carry regional labor rates, local material costs, and area-specific market factors. The same line item, for example a laminated shingle roof replacement, can price differently in different regions and in different price months.
Can ESXPress reprice my estimate for my region?
No. A true reprice requires the Xactimate price list for the job's region. The reliable way to reprice an estimate is to import it into Xactimate, which applies the correct regional price list for the job location.
What does ESXPress tell you about a code if not its price?
ESXPress tells you what an Xactimate code is, when and how it is used in real claims, the units it is measured in, how it is written, and which codes it is commonly paired with, measured from claim scopes processed through ESXPress.
How should I price an estimate for my area?
Run the estimate in Xactimate against the price list for your region, or work with a Xactimate user in your area. ESXPress converts scope PDFs into import-ready ESX files so the pricing happens in Xactimate with your price list.
What happens when Xactimate reprices an imported ESX?
Xactimate matches every line in the imported file against the price list loaded on that machine for the job's region and price month, applies the price it finds, and reports the difference. The file carries no price list of its own, which is why the reprice is your own list doing the pricing rather than someone else's numbers arriving with the estimate.
Can I turn the reprice prompt off?
That setting lives inside Xactimate, not in the file. Reprice on complete and reprice on report are profile options in Xactimate, and the documentation for them is at xactware.helpdocs.io. Nothing on the conversion side can change your profile settings, and a conversion will not try to.
